WHAT YOU'LL DO
As a process-savvy and communication-oriented Administrative Services Manager, you’ll be part of the management team that is responsible for the G&A-wide Management Assistant Hub and has a lasting influence on the structure and design of the assistant team.
Our assistant team comprises a total of approximately 90 Management Assistants, and that figure is growing. You will have direct personnel responsibility for 20-30 Management Assistants and act as their first point of contact. You’ll keep an eye on the assistant team’s daily operations (e.g., managing assignments, covering peak times, absences, or vacation, prioritizing competing tasks) and thus ensure the highest possible service level for our internal and external stakeholders. In addition to disciplinary leadership, your tasks will also include recruiting, operational planning, and personnel support and development of the assistant team. You’ll ensure high levels of both flexibility and quality in our assistant pool with long-term capacity planning, forming the interface between consultants and our assistants as an Administrative Services Manager. Finally, your communication skills and confident but approachable manner will make you a valued confidant and adviser to our employees.
You will manage and support newly recruited team members on-site in Düsseldorf. With your strong and transparent communication, you’ll prepare the Management Assistants optimally for the change and function as a role model. By organizing team activities, you’ll strengthen the cohesion and sense of belonging in the assistant team and thus create a positive team atmosphere. In close coordination with the G&A Senior Administrative Services Manager, you will question existing processes in the virtual and centralized Management Assistant Hub, optimize them as needed, and promote continuous development.
You’ll support the G&A Administrative Services Director on special projects or by managing certain projects.

YOU BRING (EXPERIENCE & QUALIFICATIONS)
You have a completed (technical) college degree and multiple years of experience in a similar position.- You win over others with your strategic mindset, your in-depth experience in dealing with change, and your strong networking skills.
- Your talent for process optimization and numbers make you stand out.
- You have experience in leading people and teams
- Ideally, you have experience with both secretarial staff and staff planning.
- You impress with your technical affinity for digital tools and have a good command of the MS Office suite.
- Your written and spoken German and English language skills are excellent.
- Confidence and an empathic personality round out your profile.
YOU'LL WORK WITH
You’ll report to the G&A Administrative Services Director, who will also support you in your onboarding and further development at the company. In close coordination with another Administrative Services Manager as well as the local Office Managers, you will be responsible for the entire assistant pool in Germany and Austria. Our collaboration as a team is characterized by respect, acceptance, and mutual trust.
