We’re looking for an Executive Assistant to support a one of our Directors/Senior Officer . This role will coordinate and manage executive scheduling, prepare and organize important strategic materials and plans, and support executive meetings and the preparation of meeting materials.

This role serves as the eyes and ears for the Directors/Senior Officer, connecting organizations, projects, and critical business information to the Directors/Senior Officer, ensuring meetings and materials are efficient and effective and serves as a trusted collaborator to deliver against the priorities of the business.

The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the Directors/Senior Officer needs.

The role must interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Management Team that report to the Directors/Senior Officer. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

The role of Executive Assistant is a great opportunity for someone who is detail-oriented with an affinity improving processes, coordinating with third parties, and interacting with all aspects of a company.

Responsibilities:

  • Providing high-level, confidential support to the Director and act as gatekeeper
  • Managing the Director calendar
  • Preparing materials for meetings
  • Coordinating logistics for travel, client visits, etc.
  • Handling phones and mailings
  • Researching projects, as needed
  • Preparing and editing correspondence, communications, etc.
  • Supporting office management with the Chief of Staff
  • Other duties and responsibilities, as assigned.

Qualifications:

  • High School Diploma
  • 1-2 years’ experience in administrative role
  • Flexibility, dependability, and adaptability
  • Excellent verbal, written and interpersonal communications skills
  • Exceptional organizational skills and ability to multitask in a fast-paced environment
  • Discretion and trustworthiness
  • Proactive; takes initiative
  • Quick thinker; creative
  • Self-motivated, results oriented and strong attention to detail
  • Proficient in Microsoft Office suite; Technology savvy

Job Type: Full-time

Pay: $28.00 - $32.00 per hour

Ability to commute/relocate:

Education:

  • High school or equivalent (Preferred)

Experience:

  • Office management: 1 year (Preferred)
  • Personal assistant: 1 year (Preferred)
